We’re hiring: P/T Project Coordinator

Newstead Arts Hub Inc is looking for a Project Coordinator to work with our appointed artists and a small steering group to help us deliver this exciting community arts project. This is a part-time contract position.

About the project

Weaving the River will create a permanent art installation along a section of the Tivey Street frontage of the Arts Hub garden. The Loddon River – Bulutjal Yaluk – and its floodplain serves as the conceptual focus, weaving river stories into this river-edge place. This community art project will wrap a river of weaving around an existing framework of rusted steel ‘railway line’ fence posts, creating a new garden space, and inviting entry with totem-like sculptures (within the garden space) and mandala-like metal objects flowing across the ground. Practically it will become an ‘art fence’ helping separate people-spaces from cars and parking areas, and further defining entry points into the Arts Hub. 

Newstead Arts Hub has been awarded a grant for the project under the Victorian Government’s Tiny Towns Round 2. 

The Hub wants to appoint a local person to this small part-time paid role that commences in February 2026 and concludes in November/December 2026. The primary activity will be in February-May and August-November, with little or no activity in June and July. 

The Hub is seeking an independent contractor to provide these services. This is not an employment position.

In this role you will have the chance to work with the artists, community volunteers and Arts Hub members. You will assist with overall tracking and coordination of key strands of the project, monitoring activities against the project plan and knowing who is doing what and when. The Project Coordinator will be supported by and work closely with a small steering group as well as Arts Hub committee members and volunteers. 

Key roles:

  • Act as the first point of contact for the project 
  • Update and monitor the project plan in relation to the planned activities, timing and any critical deadlines
  • Coordinate volunteer input into the project, using existing volunteer lists and Story Day to recruit volunteer makers, and then supporting their participation and tracking their involvement
  • Contribute to planning and delivering the Story Day event in late April and the Celebration Day in mid November
  • Receive expenses claims and forward to the Hub’s Treasurer
  • Working with the project steering group and Arts Hub Committee members, contribute to:
    • community engagement and project promotion
    • progress reports required by the grant and assist with the final project report and grant acquittal

  • Good organisational skills, with an ability to prioritise and delegate tasks and effort effectively 
  • Ability to coordinate and track key activities occurring across the project
  • Ability to recognise and utilise volunteers’ skills
  • Good communication skills and a collaborative approach to enable you to work effectively with project artists, volunteers, Arts Hub and others
  • Remaining calm under pressure.

The Arts Hub is seeking an independent contractor to provide these services. This is not an employment position.

Scope of services:

The total fee for this role is $4900. This is based on an estimated 14 days equivalent over the project period.
